Job Posting: Part-Time Social Media and Infrastructure support for the BCODN Board

The BCODN Board is looking for a part time admin assistant to support us over the next few months on a contract basis. As part of our 3-year Strategic Plan with a very small board, we have identified key duties (see below) and a reporting structure for someone to help us achieve greater efficiency and make further inroads with our Strategic Plan to bring greater value to our membership.

Scope of work – BCODN Admin Support

In providing support to the BCODN Board, your knowledge of common social media tools such as Mailchimp, Canva, and SurveyMonkey, along with the opportunity to learn the Amilia E-commerce platform will allow the board to focus on more strategic initiatives.

Information & Communications Systems:

  • Organize and maintain the online file storage drive.
  • Upload new contact names to the contact directory (on the shared drive and website, if applicable).
  • Liaise with the Technical Administrator to ensure that the website displays accurate and useful information and that communication standards are being met.
  • Ensure that BCODN’s primary email account is monitored regularly, and requests are responded to promptly.
  • Email Marketing Platform: MailChimp
  • E-Commerce Platform: Amilia
  • Graphic Design Platform: Canva
  • File Storage & Synchronization: Google Drive
  • Other platforms include: Zoom, PayPal, SurveyMonkey

Communications and Engagement Support:

  • Assist with enhancing BCODN’s online presence by creating and updating web pages, email blasts, and social media marketing.
    • Assist VP Communications with developing, publishing & monitoring content and activity on BCODN’s social media accounts.
      • May include gathering success stories, announcements, news items, seasonal newsletters, and web links of interest to the OD community.
    • Collect, maintain, and post project reports on the BCODN website to support membership engagement & education
  • Assist Board Members (Programs, Membership) with graphic design & layout announcements, newsletters, advertisements, job postings, etc.
  • Support VP Engagement with Annual Community Engagement Strategy (annual membership survey and report findings).
  • In collaboration with the Membership team and the Technical Administrator, send out membership renewal notices and thank-you’s.
  • Track membership trends
  • Research membership pricing structures
  • Upload information of new contacts to the contact directory on the shared drive.
  • Promptly handle all membership and partnership inquiries…

Events support:

  • Coordinate Registrations
  • Support event registrations as necessary. Create registration lists for workshops/events to use when checking people in.
  • Ensure that there are consistent processes in place for managing registrations.
  • Manage the collection of online payments and drop-in fees for workshops/events.
  • Assist with event planning & evaluation
  • Manage the preparation and delivery of events, this includes securing the venue, getting needed equipment, and arranging for refreshments.
  • Ensure evaluation forms are given out and collected after each event. Evaluation feedback to be presented at Board meetings.

BCO Support:

  • Assist with BCO’s administrative operations, such as maintaining the database of information relating to BCO annual cohorts and community projects.
  • Assist BCO Committee to maintain liaison with mentors concerning the status of projects and other team experiences.
  • Assist BCO Committee to collect past-project evaluations by clients, mentors, and consulting teams.
  • Assist BCO Committee with marketing and recruitment processes for project volunteer consultants, mentors, and non-profit community organizations.

Hourly rate: $20/hr
Commitment: roughly 10 hrs/week, variable, total value of contract is $3500
Term: 4 months with the possibility of extension
Reports directly to the President
Location: Remote (ideally BC-based)
Core Traits: Self-motivated, collaborative, able to work independently, organized, flexible, strong writing & editorial skills, detail and process-oriented, experience with Mailchimp
